WALAS has been live for more than six months and many exporters have taken advantage of the new self-service features. 

Here are some tips on how to get the most out of the new features. 

Adding and removing users

With the activation of WALAS, all default contacts from the old WEA system were migrated across as admin users and have the ability to manage any user on the licence.

Please note: Only an admin user will be able to add new users or update their details. You may have more than one admin user active any time.

a. From the home screen of WALAS, select either licence management or manage a licence.

b. If you manage more than one export licence, then select the licence you wish to update, the licence will be ticked already if you only manage one.

c. Tick manage users then click next to continue.

d. Select the user you wish to update or remove and click edit selected. You may tick multiple users if you wish to update more than one.

e. You will now be in user management window, use this screen to change the following:

• User type:  This allows you to set the level of access and permissions for each user.

• Contact status: Set to active to enable a user or use it to deactivate or remove a user.

• Communications: Select the relevant communication emails that the user will receive, note that more than one user can receive each of the communication types.

• WEC Declarations: Tick to allow the user to submit WEC declarations.

• Invoice/WEC default contacts: Each licence must have a default contact for invoices and WEC, but only one user may be the default.  Tick to make the user the default, but only after deselecting the previous default to avoid errors. 

f. Click submit to save your changes and close the window.

g. At this point you have not completed the changes, so click next to move to the review screen

h. Review your changes and if you are happy then click next to submit and finish the update.

Viewing and paying invoices

As part of our ongoing initiative to reduce waste, paper invoices are no longer mailed out but are instead found within WALAS and can be viewed and downloaded using the portal.

a. From the home screen of WALAS, select view invoices to access the invoices page. You may also access it through your collections page.

b. Select that record number that references that licence you wish to view; it will be displayed as INV-XXXX (licence number). 

c. You will be taken to the invoice summary record, which will list your invoices and indicate if they are paid, due for payment or overdue. For any outstanding invoices there will be a pay invoice link available.

d. To view or download your outstanding or old invoices select attachments from the record info dropdown box. You may then open and save them as a pdf file.

Closing an old product

A new and useful feature in WALAS is the ability to close a bulk or packaged product that is no longer being used, to allow for a tidier inventory and faster searching for relevant products. 

Please note: Once a product has been closed, it can only be reactivated by a member of our Export Assistance team. 

a. Locate the product record that you wish to close in your products collection or by using the advanced search function.

b. Click the close product link on the right

c. Check to make sure the product ID is correct then click next.

d. Tick the closure acknowledgement box and click next.

e. Review the information and make any required changes using the edit buttons.

f. Once you are satisfied then click next to submit.

g. A submission page will appear with a product closure application number (PC20-xxxxxx) and an email will be sent. The product will no longer appear in any searches or collections.
