One question we have been asked since the launch of the Wine Australia Licensing and Approval System (WALAS) has been ‘how do I find all of my old information?’.
Access to past shipment and product records is integral to maintaining the continuity of the export process and there are a few different ways that you can locate this information in WALAS. In this article, we’ll detail the easiest way to locate your shipments and products in WALAS.
Producing a report of your new and migrated products or shipment in WALAS
The reports feature has been found to be the most efficient way to extract a full list of your products or shipments (both new and migrated) from WALAS and is easy to access and download.
- From your WALAS homepage click on Reports located at the top of the screen.
- Select Shipment Report or Product Report from the dropdown list.
- Choose which licence you wish to produce the report for.
- Click on Submit to generate the report.
- You will now see a new window with a Please wait message while the system generates the report, it may take a while if you have many products or shipments.
- The report will appear as an excel file in the bottom left of your screen, you may need to expand the window to see it appear. Please note that you may need to enable pop-ups for the WALAS page to prevent this report being blocked.
- You can now view or save the report.
Now that you have a list of your old shipments and products, you can enter their reference numbers in our advanced search page to locate their new record number in the WALAS system by following these steps.
Using your WBC permit number to locate a shipment in WALAS
- From your WALAS homepage click on advanced search located at the top of the screen.
- Select Shipment from the Record type dropdown list.
- Choose a relevant date range for the record, the narrower the date range the faster the search will be.
- Click in Search additional criteria to expand your search fields.
- You will now see an Export permit number box appear for your WBC number, enter it into this field.
- Scroll down and click search.
Using your old WEA product or CAN number to locate a product in WALAS
- From your WALAS homepage click on advanced search located at the top of the screen.
- Select Product from the Record type dropdown list.
- Choose a relevant date range for the record, the range will need to start before the product was originally registered for it to be found.
- In the record number field you may either search with the old WEA product number or you may also do a wildcard search using the CAN number. (To perform a wildcard search place a % sign at the beginning and end of the CAN number e.g %123GL/5566771%).
- Click search.
